Position Summary

This position performs support duties for the Legal department under the direction of a Senior Attorney.

Specific Responsibilities

Document Creation and Management

·       Assist in drafting / revising documents and prepare presentations.

·       Ensure documents and correspondence are completed timely.

·       Accurately file documents in electronic matter management system. 

·       Assist in organizing and prioritizing workflows. 

·       Prepare and update routine or custom reports.

Communications

·       Receive and screen telephone calls and written communications.  Answer routine questions and furnish information.  Route or answer routine correspondence not requiring attorneys’ attention.

·       Schedule appointments and make arrangements for meetings, conferences, and travel; maintain calendars.

·       Gather records from internal business units in response to subpoenas and discovery requests; direct garnishments internally.

General Administration/Office Technology

·       Assist attorneys with their representation of the company and its business units in contractual, litigation, and regulatory matters.

·       Properly code and process legal invoices for payment.  Help maintain legal fee database. 

·       Assist in maintenance of department’s electronic matter management system and internal company webpage.

Other duties as assigned

Minimum Qualifications

  • High School degree required; Associate or Bachelor’s degree preferred.
  • Excellent clerical skills, including typing, printer/scanner operation and proper telephone etiquette.
  • Excellent PC Skills; proficient in Microsoft Office (Excel, Word, PowerPoint)
  • Strong interpersonal skills with ability to handle multiple projects and meet deadlines with attention to detail and accuracy.
  • Ability to handle confidential information and matters with discretion.
  • Highly motivated, self-starter with ability to react to changing situations and ability to work well with others in stressful situations.
  • Spanish fluency a plus.

Minimum Job Experience Required

  • 3+ years of related administrative assistant experience
  • Experience within a law firm or corporate legal department a plus
