The Records Manager is responsible for ensuring systematic control of company records from their creation to final disposition in accordance with all applicable legal, operational, technical, and historical requirements in a cost-effective manner. This includes the effective and appropriate management of the Enterprise Content Record Management (ECRM) program and all associated implementation and improvement projects.
This position works closely with the Legal, Internal Audit and IT Departments to ensure compliance policies and procedures are up-to-date and enforced. The Records Manager is also responsible for administering training and continued improvement by continual interaction with functional area business unit Record Administrators. This position is the primary liaison between the Records Administrators and the ECRM Governance Team, reporting status metrics and identifying/resolving issues.
Provide consultation and training services for all department Record Administrators regarding records management issues, concerns, policies and procedures (i.e. record and file arrangements, classifications, and storage – both paper and electronic). Oversee and supervise record tasks of Record Administrators.
Administer the day-to-day coordination and disposition of offsite records storage, including processing, data entry, retrieval, returns and destruction with employees and vendors. Implement and administer retention schedules and monitor the security and disposition of records.
Analyze system reporting and surveys results to track program performance and report findings; hold meetings with Record Administrators to share information.
Manage the ECRM program’s policies, procedures and the Records Retention Schedule; develop, recommend and implement changes and improvements to the program and related policies.
Create regular communications to keep users informed and updated, coordinate with the Corporate Communications team for guidance and publication.
Work with the Legal & Compliance and Internal Audit departments to evaluate and create strategies for complying with established and emerging federal and state regulations regarding records storage and maintenance.
Participate in the capital planning process for all major information repository systems across the company to ensure records management functionality is appropriate to the records/information assets they support and is included in system design. Advise program managers and IT managers on metadata requirements necessary to achieve this functionality.
Evaluate market trends for electronic records management tools and resources; make recommendations based on findings; tracks standards and technologies.
Bachelor's degree in Records Management or similar field of study preferred
Certified Records Manager (CRM) certification is a plus, but not required
Proficient in SharePoint functionality and management
Team oriented with excellent communication and interpersonal skills combined with the ability to work with many different people
Excellent research, analytical, problem solving, process improvement and organizational skills

5+ years of experience in electronic and paper records management
